Essential Duties & Responsibilities • Serve as the primary administrative point of contact for all contract personnel • Manage daily office operations including reception, correspondence, meeting support, and visitor coordination. • Maintain calendars, schedule meetings, support event planning, and coordinate office-wide communications. • Support program leadership with travel coordination, expense documentation, timekeeping validation, and personnel activity reporting. • Assist logistics and warehouse teams with processing documentation, filing, scanning, and maintaining digital and physical records. • Maintain office organization including supplies, equipment, workspace arrangements, and inventory of office materials. • Prepare and edit administrative documents, spreadsheets, forms, and reports as required. • Manage document control processes, ensuring that all program, logistics, and warehouse documents are routed, stored, and tracked in accordance with established procedures. • Assist with onboarding new personnel including workspace preparation, access requests, and initial documentation coordination. • Support compliance activities by maintaining updated records, training logs, certifications, and audit-ready administrative files. • Coordinate communication between on-site teams and remote offices, subcontractors, or Government stakeholders. • Track and archive meeting minutes, action items, deliverables, and administrative deadlines. • Prepare office-level status summaries and support leadership with ad hoc administrative tasks. Required (Minimum Necessary) Qualifications • Education Requirements: High School Diploma or GED equivalent. • Level of Experience Requirements: 3–5 years of administrative, office management, or program support experience. • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint). • Ability to handle sensitive information and maintain strict confidentiality. • Strong organizational skills with the ability to manage multiple tasks and deadlines. • Ability to coordinate with diverse teams including logisticians, warehouse staff, leadership, and Government personnel. • Excellent written and verbal communication skills. • Detail-oriented with strong documentation and record-keeping abilities. • Ability to work independently with minimal supervision in a fast-paced operational environment. Knowledge, Skills, Abilities, and Other Characteristics • Knowledge of general office administration practices and procedures. • Strong interpersonal and communication skills for interfacing with internal staff and Government customers. • Ability to prioritize work and adjust to changing requirements and deadlines. • Skilled in preparing and editing office documents, tracking data, and organizing information. • Ability to manage and maintain schedules, calendars, meeting agendas, and action item lists. • Strong problem-solving skills and the ability to support multiple technical teams. • Flexibility and adaptability to support logistics, warehouse, and program operations as needed. Physical Setting: • Work performed in a professional office environment located on Aberdeen Proving Ground. • Occasional coordination with warehouse or logistics spaces may be required. Schedule and Flexibility: • Standard full-time schedule (Monday–Friday) with flexibility for occasional urgent administrative tasks. • Must support time-sensitive operations tied to logistics and contract requirements. Additional Qualifying Factors As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain and maintain the appropriate clearance levels required and must also be able to obtain access to military installations. • Must comply with all APG access, safety, and administrative requirements. • May require obtaining a Government access badge or fulfilling site-specific training. • Role supports personnel across multiple functional areas (logistics, warehouse, program management).
