Job Details We are seeking a highly experienced Executive Assistant to support senior legal professionals in a dynamic law firm environment. This hybrid role, based in New York, involves providing comprehensive administrative and billing support to firm leadership and assigned attorneys. The ideal candidate will demonstrate discretion, initiative, and mastery of legal administrative processes. Key Responsibilities Provide diversified administrative support to senior attorneys and firm leadership. Manage attorney calendars, coordinate meetings, and handle sensitive communications. Oversee billing cycle: prebill review, edits, final bill generation, and compliance with deadlines. Draft complex correspondence and legal documents. Handle confidential and urgent communications with clients, courts, and external contacts. Manage attorney emails and assist with prioritization and scheduling. Coordinate marketing efforts and internal/external events. Support practice group projects and ensure timely completion. Maintain and organize electronic and paper client files. Participate in cross-training and mentoring of junior staff. Administrative Duties Time entry, expense reporting, client matter intake, and conflict checks. Operate office equipment and manage incoming/outgoing mail. Provide coverage for other attorneys as needed. Maintain knowledge of attorney practices and client histories. Skills & Qualifications Minimum 7 years of senior legal secretarial experience in a law firm. Advanced proficiency in legal billing systems (Time, Aderant, Elite). Strong organizational and multitasking skills. Excellent interpersonal and client service abilities. High discretion and judgment in handling sensitive matters. Proficiency in Microsoft 365, Outlook, Excel, PowerPoint, Chrome River, Intapp Open, and CRM tools. Typing speed of 55 wpm with strong formatting and document preparation skills.
