Executive Assistant (New York)

About HIFI HIFI is a stablecoin infrastructure company building technology for the next-generation of financial products. We build developer tools that allow value to be programmed—with rules, behavior, and logic embedded directly at the asset level. Institutions and enterprises already use our platform and API's to move billions of dollars in production environments around the world. But we view this as the beginning rather than the end. Founded in 2022, our organization is flat and our team is talent dense. We are in person at our office in Flatiron and are intentional about who we work with. We've raised $37 million from world-class investors and recently closed a Series A lead by Left Lane Capital. About the Team HIFI's founders run the company's most time-sensitive work: fundraising, regulatory licensing, enterprise partnerships, and hiring. As the company scales from an early-stage startup into a long-term, category-defining platform, this role will define how the founders operate and how their priorities turn into execution across the company. The Executive Assistant works directly with the CEO and COO as their right hand. You'll own their calendars and communications while also driving cross-functional projects, running the company's operating cadence, and making sure decisions get executed. This is a hands-on role. You'll be the one scheduling the board meeting, building the board deck, and holding teams accountable to the action items that come out of it. Responsibilities Own the founders' calendars, inboxes, and travel, prioritizing time against company goals Serve as a thought partner to the CEO and COO on priorities, decisions, and follow-through Run the company's operating cadence: leadership meetings, OKR tracking, weekly updates, and accountability on action items Lead special projects across fundraising, licensing, partnerships, and hiring from scoping to completion Prepare board materials, investor updates, and briefing docs for high-stakes meetings Manage fundraising logistics: investor pipeline tracking, data room organization, and diligence follow-ups Coordinate with legal, finance, and compliance on filings, signatures, and regulatory deadlines Act as a point of contact for investors, partners, and candidates on behalf of the founders Draft internal and external communications, including company announcements and executive correspondence Handle confidential board, legal, and personnel matters with discretion Build scalable systems for how the founders and leadership team operate as headcount and complexity grow You might be a fit if 3-6 years of experience as an executive assistant, chief of staff, or in an operations role supporting founders or senior executives, ideally in high-growth startups, fintech, or crypto Track record of managing multiple executives' calendars, inboxes, and priorities in fast-moving, resource-constrained environments Strong written communicator who can draft correspondence, updates, and briefing docs in an executive's voice Comfortable with ambiguity and building process from scratch Comfortable switching between tactical work (travel, scheduling, logistics) and strategic projects in the same day Track record of running board meetings, investor updates, or fundraising logistics under real time pressure Trusted with confidential information and sensitive conversations You want to be the founders' right hand at the center of how the company runs, not a narrow support role within a larger org Why This Role Matters This is a chance to sit at the center of a stablecoin payments infrastructure company as it scales, and to define how its founders and leadership team operate. If you're excited about working directly with the founders on the company's highest-stakes work, this role is for you. Additional Requirement Must be within a commutable distance from our office and able to work in person most days of the week. Equal Opportunity Statement HIFI is an equal opportunity employer.
