Professional Law Firm Administrator

Are you an experienced law firm administrator who knows how to turn growth into systems, accountability, and consistent execution? We are an established and rapidly growing South Florida divorce and family law firm seeking a Professional Law Firm Administrator to help build the operational infrastructure for our next stage of growth. This is not an office manager position. We are looking for an experienced law firm operator who understands how a high-performing legal organization should run and has the experience to help us build it. What You Will Own Your primary responsibility is to strengthen and scale the Firm's operational infrastructure while maintaining quality, accountability, profitability, and exceptional client experience. You will: Build, document, implement, audit, and continuously improve Firm operating systems. Standardize workflows across attorneys, paralegals, legal teams, and offices. Establish and monitor KPIs, scorecards, management rhythms, and accountability systems. Monitor attorney and paralegal capacity, productivity, workflow, and operational performance. Identify operational breakdowns and determine whether the root cause is process, technology, training, capacity, or performance. Improve delegation and leverage across attorneys, paralegals, and administrative support. Lead operational managers and hold teams accountable for measurable results. Build repeatable operating systems that can support continued geographic expansion. Oversee facilities and operational readiness across multiple locations. Partner with legal leadership to improve case flow, client service, efficiency, and profitability. Drive strategic operational initiatives from planning through implementation, training, adoption, measurement, and completion. Partner directly with the CEO and executive leadership team on organizational growth and continuous improvement. Our Leadership Structure This position joins an established executive and management team that includes dedicated leadership for Finance, Marketing, Sales, and Talent Acquisition. The Professional Law Firm Administrator will collaborate closely with these leaders but will primarily focus on legal operations, systems, accountability, scalability, facilities, and cross-functional execution. Who We Are Looking For This is not an entry-level law firm administrator position. We are specifically looking for someone who has already operated inside a professionally managed law firm and can bring that experience, judgment, and operating discipline to our organization. Our ideal candidate has: 7 years of progressively responsible law firm administration or operations experience. Significant experience managing attorneys, legal support teams, managers, and/or multi-office operations. Proven experience building and improving law firm systems and workflows. Experience implementing KPIs and managing teams through measurable results. Strong understanding of attorney and paralegal staffing, capacity, productivity, and legal workflow. Demonstrated ability to manage managers, develop people, and create accountability. Strong technology and process-improvement orientation. Experience helping an organization navigate significant growth or change. Bachelor's degree or equivalent senior-level experience. Active Association of Legal Administrators (ALA) membership strongly preferred. Certified Legal Manager (CLM) or comparable law firm management credential preferred. You May Be a Strong Fit If You naturally walk into an operation and ask: Where is work getting stuck? Who owns this? What should we measure? Is the process documented? Is the team following it? Can technology improve it? Will this system still work when the Firm is significantly larger? You do not wait for the CEO to identify operational problems. You find them, determine the root cause, build the solution, and make sure the solution sticks. You are equally comfortable discussing strategy with executives, reviewing performance data with managers, and getting into the details of a workflow when something is not working. The Opportunity We have built a strong foundation and are entering our next stage of growth. We are looking for an experienced law firm administrator who sees the opportunity to buil d, not simply maintai n, and who wants to have a meaningful role in creating a sophisticated, scalable law firm operation. If you have already helped build the systems behind a successful law firm and are ready for a larger challenge, we want to speak with you. Location: South Florida Schedule: Full-time, in-office, with travel to Firm locations as needed
