Duties include operating large mailing equipment such as high-volume printers, complex mail-inserting machines, mail meters, paper joggers, and envelop folders. Machine operators are responsible to ensure machines are constantly operating properly and performing their function efficiently to ensure all mail is processed timely. Candidate must also constantly refill machines with reams of paper, sealing fluid, ink, etc. all throughout a standard workday. Successful candidate must learn how to troubleshoot common mechanical issues of all mail machines to attempt to resolve the issue quickly and have them operating properly within a quick timeframe. If unable to resolve issues, the candidate must contact the appropriate contracted maintenance contractors and be able to effectively describe the issues over the phone or via email and pass along status of machines and service calls to management in real-time. Additional duties include operating mail print software and mail tracking software to ensure timely printing and tracking of thousands of pieces of outgoing mail produced by the Division daily. This position also requires the candidate to learn how to ship large paper files to appropriate government offices around the country using a desktop, shipping software, and weigh scale. Candidate will be responsible to track inventory of all necessary Mail Room supplies and must promptly notify the Supply Department when critical supplies are low to ensure no loss of mail production. Position is responsible to know when and how to contact vendors for support and service repair for mailing equipment when they are malfunctioning. Additionally, position will coordinate with the in-house IT department to address local network, printer, and software issues.
