Interior Climate Solutions (ICS) is seeking an experienced HVAC/R Parts Specialist to support our commercial HVAC and refrigeration technicians across the United States. This position is ideal for: Commercial HVAC technicians looking to transition into an office role Refrigeration technicians wanting a stable weekday schedule Experienced parts counter professionals Purchasing professionals with strong HVAC/R knowledge Retired or semi-retired technicians who still enjoy the industry Service coordinators or dispatchers with technical parts experience This is not a traditional purchasing position. We are looking for someone who understands commercial HVAC and refrigeration equipment, knows how to identify replacement parts, and can quickly locate and procure materials needed to keep customer locations operating. If a technician calls and says they need a Copeland compressor, Sporlan TXV, condenser fan motor, VFD, pressure control, contactor, heat exchanger, or OEM replacement component, you know what they're talking about and where to start looking. Technical HVAC and refrigeration knowledge is more important than purchasing experience. We can teach our internal purchasing processes. We cannot easily teach years of HVAC and refrigeration field knowledge. The ideal candidate can quickly determine what is needed, where to get it, how much it costs, and how fast it can be delivered. Highly preferred skills would include; Ability to read equipment model numbers and identify replacement parts. Knowledge of HVAC and refrigeration components and terminology. Experience working with commercial technicians. Knowledge of major HVAC distributors and supply houses. Strong keyboarding and computer skills. Experience using Outlook, Excel, and service management software. Position Summary The HVAC/R Parts Specialist manages the purchasing process from the time a technician or Service Manager requests a part until the material is delivered and the job is completed. This role works closely with technicians, Service Managers, Operations Managers, dispatchers, vendors, and accounting personnel to ensure the correct parts are sourced, ordered, tracked, and delivered as quickly as possible. Success in this position requires urgency, strong communication skills, attention to detail, technical knowledge, and excellent follow-through. What You'll Do Receive and process parts requests from technicians and management personnel. Identify and source HVAC, refrigeration, electrical, plumbing, and facility maintenance parts. Research model numbers, serial numbers, and equipment information to locate correct replacement components. Contact vendors and distributors to verify pricing, availability, and delivery timelines. Create and manage purchase orders. Coordinate counter pickups, local deliveries, overnight shipments, and direct-to-site deliveries. Track open orders and proactively update technicians and management. Resolve backorders, shipping delays, incorrect materials, and damaged shipments. Verify purchase orders, invoices, and receiving documentation. Assist accounting with pricing discrepancies and vendor invoice issues. Process warranty parts, returns, credits, and core returns. Maintain accurate records within company systems. Develop and maintain strong relationships with suppliers and distributors. Support technicians by helping eliminate delays that impact customer service. What Success Looks Like The successful candidate: Responds quickly to technician requests. Maintains accurate purchase orders and documentation. Balances price, availability, quality, and delivery time. Takes ownership of requests from start to finish. Solves problems before they become emergencies. Understands that supporting technicians directly impacts customer satisfaction. Required Experience Candidates should possess experience in one or more of the following: Commercial HVAC service Commercial refrigeration service HVAC parts sales HVAC supply house operations Mechanical contractor purchasing HVAC dispatching with parts responsibilities Facilities maintenance procurement Commercial service operations Preferred Qualifications Experience working with commercial HVAC or refrigeration systems. Knowledge of compressors, motors, contactors, capacitors, controls, VFDs, thermostats, refrigeration components, and OEM replacement parts. Ability to identify parts from model and serial numbers. Knowledge of major HVAC and refrigeration manufacturers. Familiarity with HVAC distributors and supply houses. Strong computer, data-entry, and typing skills. Proficiency with Microsoft Outlook and Excel. Strong written and verbal communication skills. Exceptional organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment.
