Executive Assistant
Our client is seeking a highly organized and adaptable Executive Assistant to support multiple Principals within a leading architecture and design firm. This role requires strong communication skills, the ability to manage shifting priorities, and comfort working in a fast‑moving creative environment. Hours are 9:00am-6:00pm with occasional after‑hours support, and the position is fully onsite five days per week. Key Responsibilities: Manage calendars for multiple Principals, proactively coordinating meetings and resolving scheduling conflicts Arrange domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries Ensure travel credentials such as visas and passports are current and compliant Draft and prepare internal and client‑facing communications, speaking notes, reports, and presentation materials Coordinate external speaking engagements, conferences, and related logistics Maintain contact lists, update Outlook and internal CRM systems, and track project stakeholders Process expenses and track receipts across appointments, travel, and project‑related activities Request meeting rooms, refreshments, and manage in‑office meeting logistics Maintain professional certifications and memberships for Principals (AIA, learning credits, licensing, etc.) Support special projects, committees, and collaborative initiatives across the firm Interact with clients, visitors, and high‑profile stakeholders in a professional, client‑facing capacity Qualifications: Bachelor's degree required Minimum 3 years of administrative experience, including calendar and travel coordination Strong writing ability and communication skills Experience in a creative, project‑focused, or fast‑moving environment preferred Ability to multitask and handle shifting priorities with accuracy Strong organizational skills with excellent attention to detail Proficiency with Microsoft Office, Google Suite, and presentation tools; familiarity with Concur, Keynote, or CRM systems a plus Compensation/Benefits: Up to $80,000-$95,000 base salary discretionary bonus Medical, dental, and vision benefits for employees and dependents 401(k) with company match PTO package Architectural Registration Exam (ARE) support Additional firm perks including wellness benefits and employee programs Beacon Hill is an equal opportunity employer and individuals with disabilities and/or protected veterans are encouraged to apply.
